Where daily inbox briefs are enabled, Nebula reads the company mailboxes you choose for an engagement and gives one person a private brief each day: opportunities to open, messages needing attention, and handling with a receipt.
Mail informs the brief. It never authorises an action, chooses a recipient or changes the engagement.
Who can set it up
An organisation owner or admin sets up the brief, prepares mailboxes and sets the schedule. Owners, admins, the recipient and the person who granted it can read it. Nobody else in the organisation sees it.
Open the engagement, choose Your connected work, then Inbox workflow. Setup sits under Sources, people and daily schedule.
The brief runs on the authority of the person who saved it. If they stop being an owner or admin, or change their password or two-step sign-in, it stops until it is saved again.
Connect a mailbox
The brief reads three kinds of mailbox:
- Microsoft 365 and Google Workspace, through the company account already connected to Nebula with permission to read mail and mapped to this engagement.
- Namecheap Private Email. Under Prepare another mailbox, enter the address and its existing password, confirm you may connect it, and agree to encrypted storage.
Preparing a mailbox stores its password encrypted. It does not start reading or enable sending. When the brief reads it, Nebula opens only the inbox folder, read only.
Choose what it reads and who receives it
- Tick the Mail sources to include, up to eight.
- Choose Who receives it from your organisation's members.
- Set Daily brief at and the Time zone. Seven Australian capital-city zones and UTC are offered.
- Tick the consent to private processing of these exact sources for the selected person.
- Choose Include existing mail: new mail only, the last 7 days or the last 30 days.
- Tick the email notice if wanted, tick the daily run box, then Save inbox workflow.
Each save is recorded against your name. Nebula reads only mail received inside your window, by the receipt time the mail provider records, not the sender's date. A message without a provider receipt time is held back.
A Namecheap mailbox starts from at most its latest 2,000 messages and moves forward at most 200 messages per check. A large existing inbox is not read in full.
The brief arrives as a Nebula notification with its counts and a link to the room. With the email notice on, the recipient also gets the counts and link at their verified address, without message content.
A recorded email send means the email service accepted it, not that it was delivered or read.
Optional model reading
The standard read sorts mail by its wording, with no model fee. Under Optional model interpretation you can choose a reading model from Nebula's list instead.
A model needs its own consent, separate from mailbox access, and two daily limits: Australian dollars and Orbits. Only the engagement's principal organisation can turn it on, through a role that may add engagement documents.
A model reads a message only once it has a source classification. Declare one message at a time, or apply a declared classification to future messages from the selected sources. A stricter decision already recorded still stands.
Each run makes at most one model attempt, over up to 20 messages whose full text is available. The model suggests a category and must quote the message; an answer it cannot ground is discarded.
A model cannot lower a security or privacy message. If its cost cannot be confirmed, the amount stays held and no further model attempt runs until reviewed. This limit is separate from your voice and research budgets.
Reading a brief
Each run is listed by date and says whether it was recorded, has work remaining, could not proceed, or has unconfirmed delivery. A run with unconfirmed delivery is never sent again automatically.
Each message links to its own page. With model reading on, an owner or admin can declare its classification there.
- Opportunity to review: the wording suggests an opportunity, invitation, grant, funding, sponsorship or partnership.
- Needs attention: security, privacy, support or a decision. Security and privacy messages show a plain title and no sender.
- For your review: everything else.
- Sender says: the sender claims something is free. Fees, eligibility and conditions are not verified.
- Complete content not available in this read: only part of the message, or only its details, was recorded.
A run reads up to 200 messages, and each message appears in one brief only. The brief says how many are still waiting, and names any source it could not check.
Handling recorded lines appear only where Nebula holds a receipt linking the message to something done in Nebula, such as a change admitted to the engagement. They cover at most the latest 200 linked activities.
Model cost shows the cost recorded for the run, any amount still held, and whether further model attempts are paused.
Feedback
Under each run, choose Useful, Missed something or Needs correcting. The recipient, the person who granted the brief, and owners and admins can respond. Each response is recorded against your name and that run.
Talk to Ruby about the engagement
Where engagement calling is enabled and an owner or admin has agreed to voice processing in Settings > Compliance, the engagement page offers Ruby, Nebula's assistant, in the browser and by phone.
Reading the engagement is always part of the access. Letting Ruby record proposed changes is a separate choice, offered only where your role may propose. A call cannot approve, certify or pay; proposals wait for review in Nebula.
In the browser. Open Talk to Ruby about this engagement, agree to voice processing by the provider the page names, in the United States, and choose Start engagement call.
The page shows the longest the call can run, at most 15 minutes. Afterwards the call record counts what Ruby read and proposed.
By phone. Choose Get a phone code. Nebula shows a number to ring and an eight-digit code, once, valid for five minutes. Ring the number yourself and say the code. That grants nothing yet.
Within 60 seconds, enter a fresh code from your authenticator app and choose the match number Ruby says. A wrong number, This isn't me or no answer in time closes the link without access.
You need an authenticator set up and can hold one waiting code at a time. Only the signed-in session that asked for the code can confirm it. Nebula staff will never ask you for the code.
Linking applies to that one call, and its access ends with the call. The next call needs a new code. Where the page asks for the number you will call from, it only selects how the call is verified.
Owners and admins choose a reviewed voice model, a maximum call length and an engagement budget under Engagement assistant settings, and approve an organisation voice-spend ceiling. New settings start inactive.
Phone and text delivery of the inbox brief need their own approved recipient, provider, privacy and spending arrangements, and are not covered here. Mailbox access does not grant them.
Turn it off or withdraw
- Pause or stop the brief. Choose Stop this workflow, or clear the daily run box and save. Nothing runs until an owner or admin saves it on again.
- Past briefs. They keep their dates and counts. Message excerpts and handling lines are withheld while the brief is off or a source is no longer current.
- Email notice. Clear the email box and save.
- Model reading. Set Read method to standard sorting and save. To stop applying a declared classification, clear that box and save. Classifications already declared stay recorded.
- Namecheap mailbox. Choose Remove from this engagement and Nebula stops reading it here. The encrypted password, kept records and other uses stay; to make the stored password unusable, change it with your email provider.
- Microsoft 365 or Google Workspace. Disconnect the account from your organisation's connected accounts. The brief then reports that source as unavailable and stops reading it.
- Phone link. Choose Withdraw phone link before it is confirmed, or End phone access once linked. In the browser, choose End call access. Access also ends when the call ends or times out.
- Voice settings. Revoke assistant stops later engagement requests under that choice. After an owner or admin chooses Withdraw voice permission in Settings > Compliance, no new call starts.
Stopping, removing or withdrawing does not delete briefs, receipts or charges already recorded.
